The building has an elevator between floors, Wi-Fi, a sound system, a pipe organ and piano in the Sanctuary, a piano in Fellowship Hall, getting-ready rooms, and **60+ on-site parking spaces** plus street parking. Because it is a historic building, some finishes, floors and windows are irreplaceable; please treat them that way.

### 3. Rented spaces and times

**3.1 Spaces.** You are renting only the spaces checked below, for the times listed. Common areas (entry, restrooms, elevator, hallways, parking) are shared for access only.

| Space | Rented? | Notes |
|---|---|---|
| Sanctuary (main floor ~100 + choir balcony ~30) | ☐ | Balcony used only when a Venue host is present. |
| Fellowship Hall (200+) | ☐ | |
| Catering kitchen | ☐ | Warming, plating and serving only (Section 14). |
| Getting-ready room(s) | ☐ | Included with Ceremony, Celebration and Full Weekend. |

**3.2 Rental period.**

| | Date | Start | End |
|---|---|---|---|
| Main event block | ________ | ________ | ________ (no later than 12:00 midnight) |
| Night-before decorating block (if booked) | ________ | 6:00 pm | 12:00 midnight |
| Advance rehearsal (if booked) | ________ | ________ | ________ |

- **The rental period includes all setup, the event, and teardown.** Vendors and guests may not arrive before the start time and must be out by the end time.
- For hourly events and kids' parties, you get **[30 minutes]** of access before and after your block, at no charge, for load-in and load-out.
- **All events end, and the building must be empty, by 12:00 midnight.** Amplified music ends at **[11:00 pm]**.
- **Night-before decorating** is available only by booking the 6:00 pm–midnight block the evening before. It is included in the Full Weekend package. Nothing else gives you access to the building the night before.
- **Rehearsal.** Weddings include a rehearsal of up to **[1 hour]** on the event day within the rental period. A rehearsal on a different day is an add-on (included with Full Weekend), scheduled with the Venue.

**3.3 Peak Saturdays.** On peak-season Saturdays (**May–October, and Saturdays in December**), the Sanctuary may be booked only as part of a wedding package.

**3.4 One event per space.** We do not book a second event in a space you have rented on the same day. **[Other spaces you have not rented may be booked by others.]**

### 4. Fees and payment schedule

**4.1 Fees.** Your fees are shown on your booking confirmation and calculated from **Schedule A**. The booking confirmation controls if it differs from Schedule A.

| Item | Amount |
|---|---|
| Package or hourly rental | $________ |
| Kitchen | $________ |
| Add-ons (night-before, advance rehearsal, coordinator, alcohol service fee) | $________ |
| Cleaning fee (if applicable) | $________ |
| Nonprofit discount (if applicable) | –$________ |
| Missouri and local sales tax at **[___%]** | $________ |
| **Total rental fee** | **$________** |
| Security deposit (separate; Section 5) | $________ |

**4.2 Payment schedule.**

| Booking type | Due at booking | Balance due |
|---|---|---|
| **Weddings of $500 or more** (Ceremony, Celebration, Full Weekend) | **50% non-refundable retainer** | **30 days** before the event |
| **Any booking under $500**, including the Elopement package | **Full amount** | — |
| **Non-wedding bookings of $500 or more** | **[50%]** | **[14 days]** before the event |

- If you book within the balance-due window, the full amount is due at booking.
- **What the retainer is for.** The retainer reserves your date and takes it off the market. We turn away other bookings in reliance on it, and our loss from a late cancellation is hard to measure in advance. For that reason the retainer is **not refundable** except as stated in Sections 6.4 and 7.
- **If the balance is not paid** within **[5 days]** after a written reminder, we may treat the booking as cancelled by you under Section 6.

**4.3 How you pay.** Payments are made by credit/debit card or ACH bank transfer through our processor, Stripe. By booking, you authorize us to save your payment method with Stripe and to charge it for (a) the balance when due, (b) the security deposit, and (c) any amounts owed under this Agreement after the event (overtime, damage, extra cleaning), each with an itemized notice to you. **[Credit card payments carry a surcharge of ___%, not exceeding our cost of acceptance; debit cards and ACH carry no surcharge.]**

**4.4 Taxes.** Missouri and local sales tax applies to rental charges as required by law. Tax-exempt organizations must provide a valid Missouri exemption certificate before the event.

### 5. Security deposit

**5.1 Amount.** **$500** for weddings (Ceremony, Celebration, Full Weekend); **$150** for the Elopement package and all other events (including kids' parties).

**5.2 When it is charged.** The deposit is a **separate charge** to your saved payment method **14 days before the event** (or at booking, if you book within 14 days). It is never combined with the retainer or rental fee.

**5.3 What it covers.** We may deduct, with an itemized list and photos where practical:
- Repair or replacement cost for damage to the building, furnishings or equipment beyond normal wear;
- Cleaning beyond the standard cleaning (Section 18), including glitter removal;
- Overtime not otherwise paid (Section 10);
- Fines or false-alarm charges caused by you, your guests or vendors (for example, a fire-alarm call caused by fog or smoke);
- Removal of items left behind after **[48 hours]**;
- Any unpaid fee under this Agreement.

**5.4 Refund.** We will inspect the spaces within **[2 business days]** after your event and refund the deposit, less any itemized deductions, **within 14 days after the event**. If costs exceed the deposit, we will send an itemized invoice, which you agree to pay within **[14 days]** or have charged to your saved payment method.

### 6. Cancellation and rescheduling by Renter

**6.1 How to cancel.** Cancellation must be in writing (email to **[bookings@sanctuary17.com]**). It is effective the day we receive it.

**6.2 Proposed cancellation schedule — weddings.**

| Notice before event date | You forfeit | You get back |
|---|---|---|
| More than **[180 days]** | The 50% retainer | Anything paid beyond the retainer |
| **[180–31 days]** | The 50% retainer | Anything paid beyond the retainer (normally none) |
| **30 days or less** | **100% of the rental fee** | Security deposit (if already charged) |

**6.3 Proposed cancellation schedule — other bookings.**

| Notice before event date | Refund of rental fees paid |
|---|---|
| **[30 days]** or more | **[100%, less a $[25] processing fee]** |
| **[14–29 days]** | **[50%]** |
| Less than **[14 days]** | **[None]** |

The security deposit is always refunded in full if you cancel before the event.

**6.4 Re-booking credit (optional).** **[If we re-book your date for the same space(s) at an equal or higher price, we will refund the amount you forfeited beyond the retainer, less a $[100] administrative fee.]**

**6.5 Rescheduling.** You may move your event to another available date **once**, at no charge, if you ask in writing at least **[90 days]** (weddings) or **[14 days]** (other events) before the original date and the new date is within **[12 months]** of it. Amounts paid carry over. If the new date is priced higher, you pay the difference; if lower, **[the difference is not refunded]**. Later or additional reschedules are treated as a cancellation and a new booking, or allowed for a **[$100]** fee at our discretion.

**6.6 Guest count reductions** do not reduce fees.

### 7. Cancellation by Venue; force majeure; severe weather

**7.1 Venue cancellation.** If we cancel for any reason other than your breach or a Force Majeure Event, we will refund **everything you paid**, including the retainer. **[We will also help you find an alternate venue but are not responsible for its cost.]**

**7.2 Force majeure.** Neither party is responsible for failing to perform because of events beyond its reasonable control, including fire, flood, tornado, severe storm, ice storm, utility failure, building damage, epidemic, government order, war, terrorism or civil unrest ("Force Majeure Event").

If a Force Majeure Event makes the venue unusable or legally prevents your event, you may choose:
- (a) **reschedule** to an available date within **[12 months]**, with all payments carried over and no fee; or
- (b) a **refund** of amounts paid, **[less the retainer]** — *owner decision: many venues refund in full here; attorney to advise.*

**7.3 Severe weather.**
- We will **not** cancel solely for forecast rain, heat, cold or snow.
- We will cancel or postpone if the building is unsafe or without power/heat/cooling, if the National Weather Service issues a **[tornado warning, ice storm warning or blizzard warning]** covering the event window for Buchanan County, or if local authorities advise against travel.
- If you choose not to hold your event because of weather and we have not cancelled, Section 6 applies, except that we will offer **[one fee-free reschedule]** if a **[winter storm, ice storm or blizzard warning]** is in effect for Buchanan County on the event date.
- During any warning at the event, follow the host's instructions; the **[basement / interior designated area]** is the shelter location.

**7.4 Limit.** Our total responsibility for any cancellation is limited to refunding what you paid us. We are not responsible for your vendors' fees, travel or lodging. **We strongly recommend event cancellation insurance.**

### 8. Capacity and occupancy

- Maximum guest counts, including vendors and staff in the room, are the **legal occupancy loads set by the fire marshal**: Sanctuary **[___]** (main floor **[___]**, balcony **[___]**), Fellowship Hall **[___]**. The marketing figures (~100 + ~30, and 200+) are estimates until confirmed.
- The Elopement package is limited to **25 guests**.
- You may not exceed occupancy limits. If the host determines the space is over capacity, the host may restrict entry or end the event, with no refund.
- The choir balcony may be used only when a Venue host is present. No children under **[12]** in the balcony without an adult. Nothing may be hung from or placed on the balcony railing.

### 9. Venue staffing, furnishings and setup

- **Weddings:** a Venue host is on site for the rental period. The host is not a wedding coordinator; a day-of coordinator is available as an add-on (Schedule A).
- **Other events:** a Venue representative opens, closes and walks through the building, and is **[available by phone at ______]** during the event.
- **Tables and chairs** are provided. **[Venue staff will set a standard layout from your floor plan, which is due 14 days before the event; you may adjust it within the space.]** You must return furnishings to their original layout or stacking area **[unless the Celebration or Full Weekend cleaning package covers it]**.
- **Not provided:** linens, dishes, glassware, flatware, serving ware. Bring them or rent them through your caterer or a rental company.
- Sound system, Wi-Fi, organ and pianos may be used **[with the host's approval]**. Pianos and the organ may not be moved. **[Outside organists are allowed with approval; no fee.]** Do not place drinks on the pianos or organ.

- Unpaid overtime is deducted from the security deposit or charged to your saved payment method.

- Vendors may load in **no earlier than the start of your rental period** and must load out **by the end of it**. Use **[the designated loading door]**; protect floors with carts that have rubber wheels or floor protection.

All decor must be removed by the end of your rental period. Items left behind after **[48 hours]** may be discarded.

**19.1 Indemnification.** To the fullest extent permitted by Missouri law, you will defend, indemnify and hold harmless the Venue, its owners, members, employees and agents from any claims, losses, damages, injuries, fines and costs (including reasonable attorney's fees) arising from your event, including the acts or omissions of you, your guests, vendors and contractors, and any **service or consumption of alcohol** at your event, **except** to the extent caused by the Venue's own gross negligence or willful misconduct.

**19.2 Personal property.** We are not responsible for loss, theft or damage to property brought in by you, guests or vendors, before, during or after the event.

**19.4 Limitation of liability.** Except for the Venue's gross negligence or willful misconduct, the Venue's total liability to you for any claim related to this Agreement is limited to **[the total fees you paid us]**.
